Using Gmail with your business email address

You can use Gmail with your business email address in three ways: pay for Google Workspace so your business address is a real Gmail account, forward the business address into your personal Gmail and set up Send mail as for replies, or add the business mailbox to the Gmail app on your phone as a second account. Which one is right depends on whether you already pay for a mailbox somewhere else and how much you mind mixing personal and business mail.

Option 1: Google Workspace, Gmail on your own domain

With Google Workspace, your address (say [email protected]) is a full Google account. You sign in at gmail.com with it, and it looks and works like the Gmail you know, with its own Calendar and Drive. Nothing is forwarded; Google receives your mail directly.

Choose this if:

  • You want business mail kept apart from personal mail.
  • You may add an employee later and want them to have their own address.
  • You already rely on Gmail and do not want to learn anything new.

The setup is mostly a matter of proving to Google that you own the domain and changing the MX records (the DNS lines that tell the world where your mail goes). If you also have a website on that domain, Google Workspace email and a new website explains how the two share the same domain without getting in each other's way.

Option 2: Forward to your personal Gmail and reply as the business

This is the common low-cost route. Mail to your business address is forwarded to [email protected], and you tell Gmail it may send as the business address.

Setting up Send mail as

On a computer (the phone app does not have this setting):

  1. Open Gmail, click the gear icon at the top right, then See all settings.
  2. Open the Accounts and Import tab.
  3. Next to Send mail as, click Add another email address.
  4. Type your name as customers should see it and the business address. Leave Treat as an alias ticked if this is your own address.
  5. Gmail asks for an SMTP server, which is the outgoing mail server allowed to send for your domain. Your email or forwarding provider gives you this: a server name, a port (usually 587), a username and a password.
  6. Gmail sends a confirmation code to the business address. Because that address forwards to you, it arrives in the same inbox. Click the link or paste the code.

Back on the Accounts and Import tab, choose Reply from the same address the message was sent to. Now when a customer writes to the business address, your reply comes from it automatically.

When your provider has no SMTP server

Some forwarding-only services receive mail but cannot send it. A workaround many people use is Gmail's own outgoing server, smtp.gmail.com, signed in with your Gmail address and an app password (a special password Google creates for this, available once two-step verification is on). It works, but your replies then leave from Google's servers, so your domain's SPF record (the list of servers allowed to send for you) must include Google. If it does not, your replies are more likely to land in a customer's spam folder. Why your business emails go to spam shows how to check.

Option 3: Add your business mailbox to the Gmail app

If you already pay for a mailbox with your web host, registrar or Microsoft 365, you can read it inside the Gmail app on your phone without forwarding anything.

On Android or iPhone:

  1. Open the Gmail app, tap your profile picture at the top right, then Add another account.
  2. Choose Outlook, Hotmail and Live for Microsoft 365, or Other for a host's mailbox.
  3. Enter the business address and password. For "Other", the app asks for the incoming (IMAP) and outgoing (SMTP) server names, which your provider lists in its help pages.

You then switch between accounts from the profile picture. Mail stays on your provider's server, so it also shows up on your computer.

Google has been retiring the old Check mail from other accounts option, which used to pull mail from another mailbox into Gmail on the web. If you relied on it and it has stopped, forwarding (Option 2) or the Gmail app (Option 3) replaces it.

Keeping business mail tidy inside a personal inbox

If you go with forwarding, a few settings stop a customer's message from drowning among receipts and newsletters:

  • A filter with a label. In the search bar, click the sliders icon. Put your business address in the To box, click Create filter, tick Apply the label, and make a label called Business. Tick Never send it to Spam too, so a forwarded enquiry is not misjudged.
  • A star or importance marker on the same filter, so business mail shows up first.
  • Notifications. In the Gmail app's settings, you can turn on notifications for the Business label only.
  • A signature for the business address. Under the gear, See all settings, General, Signature, create one and set it as the default for the business address only.

Common problems and quick fixes

  • Replies still go out from your Gmail address. The Reply from the same address setting is off, or you are replying from the phone app before choosing the right sender. Tap the From line in the app to switch.
  • Customers say your replies went to spam. Your domain's SPF or DKIM does not cover the server you send through. Fix the record, then test again.
  • The confirmation code never arrives. Forwarding is not working yet. Send a normal test message to the business address first.
  • Gmail says the SMTP password is wrong. Many providers need the full email address as the username, not just the part before the @.

What to do this week

  • Decide between Workspace, forwarding with Send mail as, or adding an existing mailbox to the app.
  • Set it up, then send a test from a friend's account to the business address.
  • Reply to that test and ask the friend which address they see and whether it reached their inbox.
  • Create the Business label filter so customer mail is easy to find.

Make sure your website points customers at the same address you now answer from. If it still lists an old one, or the site needs more than a quick edit, you can see your site rebuilt first with the right contact details in place.
